SyncMyGroup (“we”, “our”, or “us”) operates the SyncMyGroup website https://www.syncmygroup.com (hereinafter referred to as the “Website”) and provides the SyncMyGroup app (hereinafter referred to as the “Platforms”) and other SyncMyGroup services (referred to together as the “Services”). This Privacy Policy is expressly incorporated into our Terms of Service for the Website.
1 – What Does This Privacy Policy Cover?
When using our Services or accessing the Website, you may provide us with your personally identifiable information (“Personal Information”). This Privacy Policy describes how we collect and use the personal information you may provide on our Website or using our Services. 2 – What Information Do We Collect?
Information we collect when you enable the SyncMyGroup app:
When you or another user enables the SyncMyGroup app for your team, we receive the name of your team from the Slack API or Microsoft Teams API. We do not store messages not directed at the SyncMyGroup bot.
Billing information:
SyncMyGroup requests the following billing information to process payments for the service:
- Credit/Debit card number
- CVC
- Card expiration date
- Card owner name
SyncMyGroup does not store or manage this information in any way. We transfer it to the third-party payment provider Stripe, where all billing data is securely stored and managed. SyncMyGroup handles billing management via API tokens provided by Stripe.
Integration information:
We store only the following data:
- Emails of team members
- Integration tokens
We use this data exclusively to read team and member details. We do not use integrations for any other tasks and only request the minimum scopes necessary for this purpose.
Interaction data:
We keep track of the number of times you interact with the SyncMyGroup bot, such as which commands you use and bot tagging frequency.
3 – How We Use Information We Collect
How we use the information we collect depends in part on which Services you use, how you use them, and any preferences you have communicated to us. Below are the specific purposes for which we use the information we collect about you:
To provide the Services and personalize your experience:
We use information about you to provide the Services to you, including to process transactions, authenticate you when you log in, provide customer support, and operate and maintain the Services. For example, we use PagerDuty data to enable our bot’s primary feature of identifying the current on-call member for a team.
Customer support:
We use your information to resolve technical issues, respond to requests for assistance, analyze crash information, and improve the Services.
For safety and security:
We use information about you and your Service use to verify accounts and activity, monitor suspicious or fraudulent activity, and identify violations of Service policies.
To protect our legitimate business interests and legal rights:
Where required by law or where necessary to protect our legal rights, interests, and the interests of others, we use information about you in connection with legal claims, compliance, regulatory, and audit functions, and disclosures related to mergers or acquisitions.
With your consent:
We use your information with your consent for specific purposes not listed above. For example, we may publish testimonials or featured customer stories to promote the Services, with your permission.
4 – How, and With Whom, Is Collected Information Shared?
We are not disclosing any of your information to anyone except your team. Some information is stored on the servers of our service providers:
- Amazon AWS: Hosting provider where we lease servers to store our data.
- Stripe: Payment provider that manages payments for SyncMyGroup services.
We do not sell, lease, or transfer your personal information to third parties, but we may disclose your information in the following circumstances:
- As required by law: To comply with a subpoena or similar legal process.
- To protect rights and safety: When necessary to protect our rights, your safety, or the safety of others, investigate fraud, or respond to a government request.
- In connection with mergers or acquisitions: If we are involved in a merger, acquisition, or sale of all or a portion of our assets, you will be notified of any changes to the ownership or use of your personal information.
- With your consent: To any third party with your prior consent.
5 – What Information About Me Is Public?
If you are a member of a Slack or Microsoft Teams team that has enabled the SyncMyGroup bot, we may publicly present your organization’s name and organization avatar on our Website. However, we do not disclose your personal team information.
6 – How We Store and Secure Information
We use data hosting service providers in the United States (e.g., Amazon AWS) to host the information we collect, and we implement technical measures to secure your data. While we strive to use industry-standard techniques to protect your personal information, no method of transmission or storage is 100% secure. Unauthorized entry, hardware or software failure, and other factors may compromise the security of user information at any time.
We retain your account information for as long as your account is active and for a reasonable period afterward for potential reactivation. Some data may also be retained to comply with legal obligations, resolve disputes, enforce agreements, or improve our Services.
7 – How Can I Delete Information Kept by SyncMyGroup?
Should you decide to delete your account, you may do so by emailing hello@syncmygroup.com. Upon termination of your account, any association between your account and stored information will no longer be accessible through your account. However, public activity prior to deletion may remain stored on our servers.
